MoveMyEmails, also referred to as “we”, “our” or “us”, operates the website movemyemails.co.uk and the related migration platform. This Privacy Policy explains how information is handled when you create an account, connect source and destination mailboxes, run migration jobs, or contact us for support.
1. Information we access
When you use the platform, we may access or store information needed to authenticate your account, perform a migration, and keep the service working properly. Depending on the provider and the features you use, this may include:
- Email account identifiers such as your address, provider details, mailbox settings and encrypted connection credentials or OAuth tokens.
- Email content and headers that must be read or transferred during a migration, including sender, recipient, subject, folder, message identifiers, timestamps and body content.
- Mailbox structure data such as folders, labels and migration status information.
- Technical usage data including job progress, retry history, duplicate-check results, error logs, IP-related security logs and support notes.
2. How we use information
We use information only to deliver and support the service you request. This includes authenticating connections, reading source mailboxes, uploading messages to the destination mailbox, preserving folder structure where possible, tracking migration progress, retrying failed items, preventing duplicate uploads, monitoring abuse, billing for credit usage, and resolving technical support issues.
We do not use mailbox content for advertising, marketing profiling, model training, or any unrelated commercial purpose.
3. Legal basis for processing
Where UK GDPR or similar laws apply, we generally process personal data because it is necessary to provide the service you request, to perform our contract with you, to comply with legal obligations, and to pursue legitimate interests such as preventing fraud, protecting the platform, and maintaining secure service operations. Where a provider requires consent-based access, such as OAuth connection permissions, we also rely on the consent you provide when connecting your account.
4. Data storage and retention
We aim to minimise the data we keep. Migration data may be processed temporarily while jobs run, pause, resume or retry. We may keep limited records such as account details, encrypted connection data, migration summaries, billing information, audit logs and support records for as long as reasonably necessary to operate the platform, investigate issues, comply with legal requirements, or defend legal claims.
We do not intentionally keep full mailbox content longer than needed for the migration workflow, recovery handling, or temporary operational processing.
5. Authentication and account access
Where available, we use secure connection methods such as OAuth with Google or Microsoft, or encrypted IMAP-based authentication. Connected mailbox access is used solely to complete the migration work and related support or troubleshooting that you request.
6. Cookies
We use essential cookies to keep the website and platform secure and working, including login sessions, CSRF protection, security checks and remembering your cookie choices.
Where enabled, optional analytics or marketing cookies may be used to understand usage, improve the service and measure campaigns. Optional cookies are not required to use the platform and can be rejected using the cookie banner.
7. Third-party services
To operate the service, we may use or interact with third-party providers including hosting providers, payment providers, email APIs, Microsoft Graph, Google APIs, IMAP-compatible email systems, spam and abuse protection tools, and analytics or logging tools used for service stability and security.
Those services only receive the information necessary for their role in operating or securing the platform.
8. Data sharing
We do not sell, rent or trade your personal data or mailbox content. We may disclose data only where necessary to provide the service, comply with law, enforce our rights, investigate fraud or abuse, or protect the safety, rights or property of our users, business or third parties.
9. Security
We use reasonable technical and organisational measures to protect data, including HTTPS, access controls, encrypted or protected credentials, job-level logging, role-based admin access and service monitoring. No internet-based system can promise absolute security, but we work to keep the platform appropriately protected.
10. Your rights
Depending on the laws that apply to you, you may have rights to request access to your personal data, ask for correction or deletion, object to certain processing, request restriction, or ask for a copy of your data. You may also disconnect mailbox connections or close your account, subject to any retention duties that still apply.
11. Google user data
If you connect a Google account, Google user data is accessed only to provide the mailbox migration services you request. We do not use Google user data for advertising, resale or unrelated purposes, and we do not transfer it to third parties except where needed to operate or secure the service, comply with law, or prevent fraud or abuse.
12. Children’s privacy
The service is intended for business and general adult users. It is not directed to children, and we do not knowingly collect personal information from children.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we do, the updated version will be posted on this page and the “Last updated” date will be amended.
